For most professionals, meetings move business forward, but the busywork around meetings can slow work down. The call summaries, action items, and follow-up takes time that disproportionately falls on professionals whose work runs on meetings. Calendly, trusted by millions to simplify meeting complexity, built two tools to fix that. Calendly today announced Callie™ (beta), an AI assistant, and Calendly Notetaker, forming a suite of AI tools designed to remove the friction – and frustration – surrounding meeting scheduling and busywork, achieving an end-to-end meeting workflow.
Callie, currently in beta, acts as a personal AI assistant users can bring into any email thread to help coordinate meetings. To activate Callie, users only need to remember one email address — callie@calendly.com — to add Callie to the conversation and say what they need. Callie works right in the email thread and follows the context of the conversation, checks availability, and adapts when a meeting doesn’t follow the usual rules — like a different time, location, or availability window — without requiring users to create new scheduling links, change their setup, or switch tools, which might be necessary without Callie’s help. Users can also “Ask Callie” about meeting specifics using the always present chat in the Calendly app. Beta users report faster meeting scheduling and a better invitee experience as a result of delegating scheduling tasks to Callie. For existing Calendly users, Callie is a new tool available to use for complex scheduling, while scheduling links are still an option for more straightforward needs. Over time, Callie will continue to add capabilities as a proactive assistant that uses its accumulated context to surface the right next steps for follow-up, re-engagement and ultimately business outcomes for Calendly users wherever they work.
Calendly Notetaker picks up where scheduling with Callie leaves off. Notetaker is an AI meeting assistant built to capture clear summaries, deliver action items, and handle follow-up emails all in one place—unlike standalone notetakers that are disconnected from meeting, scheduling and contacts context. Notetaker joins Zoom, Google Meet, and Microsoft Teams calls — whether they were booked through Calendly or set up directly in an external calendar — and delivers video recordings, full transcripts, and shareable recaps with action items. In short, Notetaker frees users’ time and attention during meetings so that they can be fully present, and, in the end, captures the conversation so participants have what they need to get work done post-meeting. Recaps are private by default, users are able to choose what’s recorded and shared, and each meeting recap is linked to the right contact and event type, so every conversation builds on the last. And if you need to remember a specific detail from a previously recorded meeting or prepare a brief for your next call, simply “Ask Callie.” Calendly users report saving 3–4 hours per week after eliminating manual note-taking with Notetaker. Beta customers have used Notetaker to power more than 100,000 meeting recordings, with the highest satisfaction score across Calendly’s product suite.
Together, for the first time, Callie and Notetaker connect and simplify the end-to end meeting workflow to remove the operational work before, during, and after the meeting.
“We created the scheduling automation category to remove the friction from one part of the meeting lifecycle. Now, we’re capturing the power of AI to expand what it means to make meetings easier across the board,” said Tope Awotona, Founder and CEO of Calendly. “Our customers aren’t looking for another tool to manage. With Callie and Notetaker working together, Calendly is helping professionals win over fragmented tools so they can focus on the conversations that move work forward, not the tasks that surround them. Meetings don’t exist in isolation. They’re part of a larger work cycle, and our suite of AI-powered features is what finally connects it all.”
“It feels like a white-glove experience,” said Bryan Jackson, Managing Director and Construction Practice Lead at Hirewell and Calendly customer. “My most valuable time is on the phone with candidates, not doing the admin work of scheduling and rescheduling. Callie is creating a better overall experience for everybody involved.”
Calendly is reimagining the way that meeting-centric work gets done for the AI era. Calendly’s expanded AI tools are available when and where customers need them, and reduce friction and save valuable time for professionals whose business growth is reliant on meeting and relationship management. Nearly two-thirds of users turn to Calendly’s AI assistant with requests for other meeting-related tasks – preparation, coordination, and follow-through – in addition to booking1. And the reason is clear: AI tools like Callie and Notetaker are mission-critical features built to help professionals move faster without losing the human connection that their business thrives on.
“With Calendly, it all flows together. The meeting gets booked, the conversation is captured, and the follow-up is already started,” said Elena Pastore, Founder of Allenatore Coaching and Calendly customer. “The biggest change for me is how I show up in conversations. I’m not thinking about what I need to write down or worried about missing something. I’m just there, fully focused on the person in front of me.”
Calendly users will see new options to enable Notetaker and Callie beginning August 19, 2026, initially in English-language accounts only. Expansion to additional languages is coming soon. Access and usage will be aligned to plan level as Calendly introduces new Standard Plus and Teams Plus plans that bundle value across scheduling, meetings, and AI. Beta access to Callie during free trials may vary. Calendly users can also take advantage of Payments and Contacts tools to support payment collection for services and relationship management, respectively. Payments and Contacts, along with Callie, Notetaker, and Scheduling, form Calendly’s new AI-powered suite that helps professionals reclaim their time for the relationships and activities that grow their business.
